Application

1.1 A parent intending to enrol his / her child to Biosphere School (hereinafter the “School”) must submit the “Application for Admission” form to the administrative staff of the school along with all the required documents stated in the form. False, inaccurate, or misleading information will lead to a rejected application. Intentional or deliberate use of misleading information about the applicant, which includes past school records and especially medical conditions if any, can result in the child’s withdrawal from the School at the Management’s discretion. Parents / Guardians must at all times be sure to inform the School of any changes to pertinent information as soon as they are able to provide them. The School further reserves the right to contact the previous schools (if applicable and relevant) and may request the latest medical report relating to the child while considering the child for admission. If no such information exists, the School reserves the right to request the child take the relevant medical examination, the cost of which shall be borne by the parents or guardians.

1.2 The Application Fee, Registration Fee, and Security Deposit are payable in full during the submission of the “Application for Admission” Form for Non-Indonesian students. All fees are non-transferable and non-refundable. Terms and Conditions apply.

1.2.1 For Non-Indonesian students, admission to, and continued status as a student at the School is conditional. The child must possess a valid visa issued by the Indonesian Immigration Department. Student Pass, Security Bond, and Visa charges are imposed by the Indonesia Immigration Department and payable by all Non-Indonesian students.

1.3 For Indonesian students, Registration Fees are payable upon registration. Terms and Conditions apply.

Acceptance & Rejection of Application

2.1 The class and level placement of the child is at the absolute discretion of the School. In this regard, the School will take into consideration various factors, including the child’s age, academic ability, level of extracurricular achievement, and the child’s general mannerisms and behaviour.

2.2 The School reserves the right to place the child in a class which the Principal deems academically and developmentally suitable to the child’s needs. This is effective from the date of admission and whilst the child is enrolled at the School. These decisions may include changes due to the child’s inability to benefit fully from the School’s curriculum or reasons that may require the child to repeat one academic year or to possibly be withdrawn from the School in favour of a more suitable learning environment that suits the child’s needs. The Principal’s decision is final in these cases.

2.3 The School reserves the right to terminate a student’s enrolment should he / she be found to have any learning disorder, illness, or special condition that requires special care. We do not have teachers and staff specially trained to facilitate the child’s learning and growth in our school. The academic nature and the demands of the classes, coursework, and exams may not be conducive for them.

2.4 Students who have been expelled from their previous schools will not be able to enrol in the School.

2.5 A student is considered fully registered upon enrolment and the parents / guardians will be required to pay the school fees (including the annual fees) at the rate applicable for the first month (for Indonesian students) or the instalment (for Non-Indonesian students) as stipulated in the invoice issued, as well as the security deposit, within 7 days of the commencement of the school.

2.6 If an offer is declined by the parents / guardians in writing or by default, the Application will automatically be cancelled.

2.7 In the event the School refuses admission, removes, expels and/or terminates any students from being a student with the School, the School shall not be liable in any way for any losses or difficulties whatsoever suffered by any party as a result of such discontinuance.

2.8 All registered students will be covered under Personal Accident Insurance for any injuries or accidents that occur within/outside the school grounds.

2.9 Intensive Mathematics workshop is mandatory for all Key Stage 3 students from other schools in order to bridge the gap between the primary school and IGCSE Mathematics curriculum.

Fees & Payment

3.1 Fees for the second and subsequent months are payable before / on the due date as stipulated in the invoice.

3.2 The parents / guardian are jointly and severally liable to promptly pay all the payable fees for the subsequent months. The School reserves the right not to allow the student to attend class or access any of the school facilities until all outstanding fees have been paid.

3.3 The parents/ guardian will be given a 7-days (one week) grace period from the date stipulated in the invoice to settle the fees. If the parents/guardians fail to pay any payment due and payable, their child / ward may be excluded from the class at anytime until the fees are paid. If the specified amount is not paid within 30 days after exclusion, the student will be deemed withdrawn without notice. The School reserves the right to withhold all examination results, certificates, and school records of the child; this includes the restrictions of parents and/or the students to access the school’s information systems.

3.4 Students who are granted with a sponsorship/subsidy scheme are required to produce their parent’s employment letter and an official letter from the company’s Human Resources Department detailing the duration and the amount of the sponsorship or subsidy, upon enrolment. In the event that the parent has left the company, the School must be informed immediately in writing. The parent undertakes to pay all fees thereafter.

3.5 Advance payment of full year academic fee – Students will be given an advance payment rebate of 3.0% on the academic fees; provided that the yearly academic fee is paid in full on or before the first day of commencement of study in the first term of the new academic year. Should a student leave the School during or within the academic year, and provided that adequate written notice of withdrawal is served according to the terms and conditions governing withdrawal in the student enrolment form, prepaid academic fees for the months that the student will not be enrolled in will be refunded. The rebate granted at the beginning of the academic year will be proportionately deducted from the prepaid academic fee.

3.6 Late payment – The School reserves the right to impose a Surcharge to any outstanding balance past due. Please refer to the invoice for the chargeable surcharge.

3.7 School fees paid are neither refundable nor transferable, except for the refundable Security Deposit. The School reserves the right to revise the fees payable with the due notice of 3 months prior to the new rate.

Withdrawal from School

4.1 A parent / guardian may withdraw the child from the School by giving the School one (1) month notice in writing and filling out the School’s “Withdrawal Form”, failing which the Security Deposit shall be forfeited in full. Refund of deposit is subject to the School Refund policy and shall be made no later than 30 working days.

4.2 All monies refundable under the conditions hereof shall be refunded free of interest and shall be paid in Indonesian Rupiah.

Communication

5.1 The parents/ guardian shall undertake to keep the school informed of any changes in status, contact details, and required particulars throughout the duration of the child’s enrollment.

5.2 All notices, letters, SMS messages, emails, and correspondence from the School shall be sent to the parents/ guardian according to the address, contact numbers, and emails given in the ‘Application for Admission’ Form and shall be deemed sufficiently served if sent by ordinary post, SMS, emails, mobile apps, or if directly handed over to the child.

Medical & Emergency

6.1 In the event of the child having a contagious or infectious disease or illness, the Principal may prohibit the child from attending the School for such period as is deemed necessary. This is based on discretion and can be reversed if there is sufficient medical certification. The parents/guardians and child have no claim against the School for any actions taken by the Principal to protect the safety and best interests of students of the School.

6.2 In the case of a medical emergency, where neither parents nor guardians can be contacted to give consent, the School is authorised at its sole and absolute discretion to seek the appropriate medical examination or possible emergency treatment of the child by a registered doctor. In some cases, it may require sending the child to a medical centre, where all expenses thereby incurred will be on the parents’ or guardians’ account, and the parents / guardians agree to indemnify the School fully should payment be required first.

6.3 Parents/ guardians agree that the School will not be held liable for any death, personal injury, or any loss or damage of any kind whatsoever which the child may sustain at any time within the school premises, authorized field trip, or elsewhere, which is not attributable to the negligence of the School, its officers, agents, or employees.

General

7.1 All registered students will have to abide by the School’s Policies, Rules & Regulations and Disciplinary Terms and Conditions.

7.2 The School reserves the right to remove or prevent parents/ guardians from entering the School’s premises and/or suspend and/or terminate the enrollment of any students in the School if the School in its sole and absolute discretion determines the said student and/or its parents/guardian and/or any other party interferes in or disrupts the smooth running of the School or its administration or the classes in the School, including but not limited to involvement in making defamatory or disparaging remarks or statements about the School or its teachers and staff, or the management of the School. In such a situation, the aforesaid Security Deposit is at risk of being forfeited.

7.3 The School reserves the right to use a student’s personal information, photos, images, video recordings, in any publicity and/or promotion exercise of the School
